Role Overview

The Production Manager will coordinate client projects from approved scope through production and delivery, ensuring timelines, deliverables, assets, approvals, and dependencies are properly managed. The role will work across client strategy, creative, media, outside vendors, and internal operations to keep projects organized and address potential production issues proactively.

The ideal candidate has experience in agency production, creative operations, or multi-client project management and can manage overlapping workstreams while identifying bottlenecks, improving workflows, and bringing structure to the agency’s production processes.

Production & Project Management

  • Coordinate client projects from approved scope through production, delivery, and closeout.
  • Track project timelines, deliverables, approvals, dependencies, outstanding assets, and key deadlines.
  • Maintain visibility into active production, upcoming projects, and potential risks.
  • Proactively follow up on missing information, client approvals, assets, specifications, and deliverables.
  • Identify timeline, resource, scope, or coordination issues early and escalate them when leadership input is required.

Creative, Media & Vendor Coordination

  • Coordinate project handoffs between client strategy, creative, media, sales, operations, and outside production partners.
  • Ensure designers, videographers, editors, translators, media partners, and other vendors receive the information and materials needed to complete their work.
  • Organize creative briefs, specifications, production requirements, approvals, and versioning needs.
  • Coordinate production activities across digital advertising, social content, video, programmatic media, print, and other campaign deliverables.
  • Track external vendor deadlines, deliverables, and potential production risks.

Pre-Production & Scope Review

  • Review upcoming work and approved projects from a production perspective.
  • Identify missing deliverables, unclear specifications, unrealistic timelines, potential vendor requirements, and resource gaps before production begins.
  • Flag projects that may require additional budget, staffing, production support, or leadership involvement.
  • Monitor project budgets, vendor costs, and scope changes that may affect delivery or profitability.

Client Communication & Internal Collaboration

  • Participate in selected client meetings when production coordination or clarification is needed.
  • Provide project-status updates and communicate asset requirements, deadlines, and approval needs.
  • Flag client requests that may affect project scope, cost, or timelines before commitments are made.
  • Collaborate with leadership, the Creative Director, account strategy, and media teams to maintain alignment across active projects.

Process Improvement & AI Adoption

  • Review existing production workflows to identify opportunities to reduce unnecessary steps, improve coordination, and increase process reliability.
  • Document repeatable production procedures, checklists, and project-management systems.
  • Identify recurring production and operational tasks that could benefit from AI tools, automation, or improved systems.
  • Assist with testing and implementing practical AI-enabled workflows while maintaining appropriate quality control.

Experience

  • 3+ years of experience in agency production, project management, creative operations, marketing operations, or a similar multi-client environment.
  • Experience coordinating creative teams, internal stakeholders, external vendors, and client deliverables.
  • Experience managing projects involving multiple deadlines, approvals, dependencies, and stakeholders.
  • Familiarity with creative, media, advertising, video, or digital marketing workflows is strongly preferred.

Skills

  • Strong project-management, organization, prioritization, and follow-up skills.
  • Ability to identify production risks, dependencies, missing information, and potential delays before they affect project delivery.
  • Experience using project-management and collaboration platforms such as Monday, ClickUp, Asana, Trello, Microsoft Teams, SharePoint, Slack, or similar tools.
  • Ability to coordinate work across multiple departments while balancing competing priorities.
  • Strong attention to detail and ability to remain calm under pressure.
  • Ability to independently manage responsibilities while recognizing when issues require escalation.
  • Ability to identify opportunities for process improvement and more efficient production workflows.
  • Interest in AI, automation, and tools that improve operational efficiency.

  • Client projects move through production with clear ownership, established timelines, and fewer last-minute issues.
  • Creative teams and external vendors receive complete briefs, assets, specifications, and approvals before production begins.
  • Leadership has clear visibility into active production, upcoming deadlines, project risks, and resource requirements.
  • Scope changes, budget concerns, and production bottlenecks are identified early.
  • Repeatable production workflows and project-management systems become more organized and scalable.
